Our Billing & Cancellation Policy

AAFS schedules staff for each activity based on the number of registered participants, and when members ‘no show’ or cancel at the last minute, it costs us a lot of money. In 2015, we estimate no-shows and late cancellations cost us $10,000.

Our General Cancellation Policy will apply to all activities with some variation for activities that require pre-purchased tickets, overnight activities, and Active Life programs.

Our cancellation policy for general activities is 48 hours. 

  • Cancellations MUST be submitted 48 hours or more before the start of the activity.
  • If cancellations are not provided 48 hours or more before the beginning of the activity, you will be billed for the entire activity.

Active Lifestyles include any programs that expand over 4-8 weeks long and include: ball hockey, lacrosse, boxing, parkour etc.

  • When you register for an Active Lifestyle program, you will be billed for the entire duration of the program – regardless of attendance.
  • Cancellation from an Active Lifestyle program must happen within 48 hours of the first start date.
  • Cancellations after the start of the program will not result in a refund. Unfortunately, the cost of the program will be forfeited and will be billed for ALL program dates, regardless of attendance. 

Activities with Pre-Purchased Tickets are activities where AAFS has pre-purchased a ticket for you based on registration for the activity. These may include (but are not limited to) Disney on Ice, the Calgary Comic and Entertainment Expo, Slide the City etc.

  • AAFS will notify families in the activity description if we are required to pre-purchase tickets.
  • If you cancel the activity and we are unable to fill the vacancy, the cost of the ticket will be forfeited.
  • However, if we successfully fill your spot, we will return the cost of the ticket.

Camping & Overnight Activities include all camping trips, clubhouse sleepovers, and out of city trips which span over at least 24 hours.

  • Cancellations MUST be submitted seven (7) days or more before the start of the activity.
  • If cancellations are not submitted seven (7) days or more before the start of the activity, you will be billed for the full activity.

Please note, we invoice all activities for the full, scheduled duration.

  • If a member arrives late or leaves early, we bill for the full amount of hours planned and scheduled for the activity.
  • If a member pre-arranges to arrive early or have a late pick-up, additional time outside of the scheduled program will also be invoiced.
  • Under rare circumstances, if the activity is ended early by the organization due to weather, major incident, etc., the member will be billed for the time spent at the activity.  

Process:

To cancel an activity, please immediately e-mail cancel@aafscalgary.com and include the following information:

  1. Date of the activity
  2. Name of the activity
  3. Participant’s name

 We will do our very best to process these and respond in a timely manner.
